After years of creating our own reports and helping others craft theirs, here’s what we’ve learned about building one that truly moves the needle.

1. Start with purpose: define your goals and audience

Before you write a single word, ask yourself: Why are we creating this report and for whom?

  • Are you reporting back to donors or funders who expect evidence of outcomes?
  • Are you looking to win the hearts of your community or future partners?
  • Are you trying to attract investment by showcasing your ESG performance?

Clearly defining your audience will shape the tone, structure, and content of your report. A donor might want hard metrics and transparency, while a public audience may resonate more with emotional storytelling. A strong report blends both.

Tip: Create reader personas, one for each stakeholder type, to guide the way you craft your narrative and visuals.

2. Lead with your headline impact

Open with a powerful summary that gets straight to the heart of your impact. Highlight the top 3–5 results that show how your work is making a difference.

  • Think: “Distributed 100,000 meals across 15 cities,” or “Increased school attendance among girls by 40%.”
  • Pair data with humanity: include quotes, anecdotes, or brief success stories that show the faces behind the figures.

This isn’t the time for modesty, own your impact.

3. Let the data tell the story (but not the whole story)

Good data builds trust. Great data tells a story.

Support your claims with clear, honest numbers, using charts, graphs, and infographics to bring them to life. Include both achievements and challenges. Stakeholders don’t expect perfection, they expect authenticity and a plan for improvement.

Example: If a programme didn’t meet expectations, briefly explain why and what you’re doing differently next year. This level of honesty can increase credibility and investor confidence.

4. Bring it to life with case studies and testimonials

Numbers show scale. Stories show soul.

Include short case studies of people, families, or communities positively impacted by your work. Use real names, vivid images, and direct quotes to make these stories memorable. This creates emotional connection, the kind that drives engagement and loyalty.

Tip: Video testimonials or photo essays can turn a static report into a dynamic, shareable experience.

5. Align with industry frameworks (like the SDGs or ESG)

If your work supports broader global initiatives, connect the dots. Use recognised frameworks such as:

  • UN Sustainable Development Goals (SDGs)
  • Environmental, Social & Governance (ESG) metrics
  • Theory of Change models

This not only boosts your credibility but also helps stakeholders understand how your impact fits into the bigger picture of systemic change.

6. Make it beautiful and easy to read

Your report should be as compelling visually as it is narratively. A clean, accessible design helps readers digest complex information quickly and keeps them engaged.

  • Use section breaks, infographics, and pull quotes.
  • Keep text scannable with bullet points and short paragraphs.
  • Incorporate your brand identity, colours, fonts, voice, tone, so it feels like you.

Don’t let your impact report gather digital dust. Make it work for you:

  • Create a downloadable PDF, web-optimised version, and even a short video summary.
  • Promote it through newsletters, social media, and partner networks.
  • Consider interactive features, clickable graphs, story maps, or embedded videos, to boost engagement.

And remember accessibility: ensure the report is readable on mobile, screen-reader friendly, and easy to navigate for all users.
